Title:  Admin Specialist

Responsibilities

  1. Plan and execute the company’s daily administrative operations
  2. Oversee office operations, including facility management, cargo coordination, and technical service processes
  3. Manage company registrations, contracts, and legal documentation, ensuring proper record-keeping and archiving
  4. Communicate with suppliers and support purchasing and procurement activities
  5. Coordinate with official institutions and external service providers
  6. Issue invoices and ensure all required internal approvals are obtained
  7. Maintain and track the company's fixed assets and inventory records
  8. Manage employee company assets (vehicles, laptops, etc.) and provide necessary operational support
  9. Provide support to expatriate employees with administrative and operational matters
  10. Collaborate with operations team members and provide cross-functional support when required

 

Requirments:

  1. Bachelor’s degree or Associate Degree, preferably in Business Administration, Management, Finance, or a related field.
  2. Minimum 3 years of relevant experience in Administrative Affairs, Office Management, Procurement, Facility Management, Fleet Management, or Operations.
  3. Good knowledge of procurement, invoice management, contract follow-up, fixed asset management, and document/record management.
  4. Experience in managing company assets such as vehicles, laptops, office equipment, and other fixed assets.
  5. Familiarity with working with official institutions, public authorities, and external service providers.
  6. Strong organizational, planning, follow-up, and coordination skills, with the ability to manage multiple tasks and priorities simultaneously.
  7. Strong communication and interpersonal skills, with the ability to work effectively with employees, suppliers, management, and cross-functional teams.
  8. Analytical, detail-oriented, proactive, and solution-oriented approach to work.
  9. Good command of Microsoft Office applications, particularly Excel, Word, and Outlook.
  10. Good command of English, both written and spoken.
